Official Rules & Participation Terms

Participation in the Long Haul Rally (the “Event”) constitutes acceptance of the following rules, requirements, and conditions. These rules are intended to ensure the safety, fairness, and smooth operation of the Event.

1. Registration & Payment

Registration for the Event is confirmed only after full payment has been received. No vehicle or participant will be considered registered until payment is paid in full.

Participation is offered on a first-come, first-served basis.

The Event is limited to a maximum of one hundred (100) vehicles. Once capacity is reached, additional applicants may be placed on a waiting list at the discretion of the Event organizer.

2. Vehicle & Occupancy Limits

Each registered vehicle may include no more than two (2) participants.

Only the registered vehicle and registered participants may participate in the Event unless otherwise approved by the Event organizer.

3. Driver Eligibility

All drivers must:

  • Possess a valid driver’s license issued by a recognized government authority.

  • Be legally permitted to operate a motor vehicle in the jurisdictions traveled during the Event.

  • Agree to operate their vehicle in a safe, responsible, and lawful manner at all times.

The Event organizer reserves the right to deny participation to any driver deemed unsafe or unfit to operate a vehicle.

4. Vehicle Requirements

All participating vehicles must:

  • Be legally registered in the jurisdiction where the vehicle is registered.

  • Maintain current and valid automobile insurance coverage meeting or exceeding the minimum legal requirements of the applicable jurisdiction.

  • Maintain a current safety inspection, if required by the vehicle’s state or country of registration.

  • Be in safe mechanical operating condition.

Participants are solely responsible for the safety, maintenance, and roadworthiness of their vehicle.

5. Compliance With Laws

Participants must comply with all local, state, and federal laws and traffic regulations during the Event.

The Long Haul Rally is not a race. Reckless driving, illegal racing, or unsafe conduct is strictly prohibited.

Participants are solely responsible for any citations, violations, damages, or legal consequences resulting from their actions.

6. Safety & Conduct

Participants agree to operate their vehicle in a safe and courteous manner at all times.

The Event organizer reserves the right to remove or disqualify any participant or vehicle from the Event without refund if they engage in unsafe driving, reckless behavior, illegal activity, or conduct that may endanger other participants or the public.

7. Refund Policy (Important)

All registrations are subject to the following refund terms:

Full refunds (minus administrative fee)
Participants may cancel their registration before January 1, 2027, and receive a refund of their registration fee less a twenty percent (20%) administrative processing fee.

No refunds after January 1, 2027
All registrations become non-refundable after January 1, 2027 under any circumstances.

8. Registration Transfer

If a participant is unable to attend after January 1, 2027, their registration may be transferred to another eligible participant with written approval from the Event organizer.

The replacement participant must meet all eligibility requirements and complete all required documentation prior to the Event.

9. Organizer Authority

The Event organizer reserves the right to:

  • Modify the Event schedule or route if necessary

  • Enforce all rules and safety requirements

  • Remove participants who violate these terms

  • Make final decisions regarding participation and rule interpretation

All decisions made by the Event organizer are final.

Drivers Code of Conduct

The Long Haul Rally is intended to be a safe, enjoyable, and responsible driving experience. All participants are expected to operate their vehicles in a lawful and respectful manner throughout the Event.

By participating in the Long Haul Rally, all drivers agree to adhere to the following Code of Conduct.

1. Compliance With Traffic Laws

All drivers must obey all local, state, and federal traffic laws at all times during the Event.

The Long Haul Rally is not a race. Drivers must operate their vehicles responsibly and within the legal limits of the roadway.

Participants are solely responsible for any citations, fines, penalties, or legal consequences resulting from their actions.

2. Safe Vehicle Operation

Drivers must operate their vehicles in a safe, controlled, and predictable manner at all times.

The following behaviors are strictly prohibited:

Unlawful passing, including passing in no-passing zones, double yellow lines, or other restricted areas
Swerving, weaving, or aggressive lane changes that may endanger other participants or the public
Burnouts, donuts, drifting, or other reckless driving behaviors
Burnouts or aggressive driving in hotel parking lots, event venues, or public spaces
Street racing or engaging in competitive speed contests

Drivers must maintain safe following distances and remain attentive to road conditions and surrounding traffic.

3. Respect for Hotels, Venues, and Communities

Participants represent the Long Haul Rally wherever the Event travels. Drivers must conduct themselves in a respectful and professional manner.

Participants shall not:

• Perform burnouts or reckless driving in hotel parking lots
• Cause excessive noise or disturbance to hotel guests or local communities
• Damage property belonging to hotels, venues, or other businesses

Any damage caused by a participant is the sole responsibility of that participant.

4. Substance Use

Drivers must not operate a vehicle while impaired by alcohol, drugs, or any substance that affects their ability to safely control their vehicle.

Participants must comply with all DUI/DWI laws.

5. Organizer Authority

The Event organizer reserves the right to remove, disqualify, or deny continued participation to any driver who violates this Code of Conduct or engages in behavior deemed unsafe or inappropriate.

Removal from the Event for Code of Conduct violations may occur without refund.

6. Responsibility

Each driver is responsible for:

• Their vehicle
• Their passenger(s)
• Their driving behavior
• Compliance with all laws and Event rules

Participation in the Long Haul Rally is a privilege, and drivers are expected to uphold the safety and reputation of the Event.

7. Agreement

By participating in the Long Haul Rally, all drivers acknowledge that they have read, understood, and agree to abide by this Driver Code of Conduct.

 

Participant Agreement & Liability Waiver

This Participant Agreement and Liability Waiver (the “Agreement”) is entered into by and between the participant(s) listed on the event registration (the “Participant”) and the Long Haul Rally and its organizers, officers, employees, volunteers, sponsors, partners, affiliates, venues, hotels, and agents (collectively referred to as the “Event Organizer”).

By registering for or participating in the Long Haul Rally (the “Event”), the Participant acknowledges and agrees to the following terms and conditions.


1. Assumption of Risk

Participant acknowledges that operating a motor vehicle over long distances and participating in a multi-day driving event involves inherent risks, including but not limited to:

• Traffic accidents
• Personal injury or death
• Property damage
• Mechanical failure
• Road hazards
• Weather conditions
• Actions of other drivers or third parties

Participant voluntarily assumes all risks, known or unknown, associated with participation in the Event.

Participant understands that the Long Haul Rally is not a race, but involves extended driving over public roadways where risks cannot be eliminated.


2. Release of Liability

Participant hereby releases, waives, discharges, and holds harmless the Event Organizer from any and all claims, liabilities, demands, damages, losses, or expenses arising out of or related to participation in the Event.

This release includes, but is not limited to:

• Personal injury
• Death
• Property damage
• Vehicle damage
• Financial loss
• Claims arising from negligence of other participants

Participant agrees that the Event Organizer shall not be responsible for any injuries, losses, or damages sustained during or related to the Event.


3. Indemnification

Participant agrees to indemnify, defend, and hold harmless the Event Organizer from any claims, liabilities, damages, costs, or legal expenses resulting from:

• Participant’s actions or negligence
• Participant’s operation of their vehicle
• Damage caused to property, hotels, venues, or third parties
• Violations of law or rally rules

Participant accepts full responsibility for their conduct and the conduct of any passenger traveling in their vehicle.


4. Driver Responsibility

Participant certifies that any driver of the registered vehicle:

• Possesses a valid driver’s license
• Maintains current automobile insurance coverage
• Operates a legally registered vehicle
• Maintains current safety inspection, if required by law

Participant further agrees that the vehicle will be operated in a safe and lawful manner throughout the Event.


5. Compliance With Event Rules

Participant agrees to comply with all Event rules, including the Driver Code of Conduct, and all applicable traffic laws.

The Event Organizer reserves the right to remove or disqualify any participant who engages in unsafe driving, reckless behavior, illegal conduct, or actions that may endanger others.

Removal from the Event for rule violations may occur without refund.


6. Vehicle Responsibility

Participant acknowledges that they are solely responsible for:

• The mechanical condition of their vehicle
• All vehicle maintenance and repairs
• Any damage caused by their vehicle

The Event Organizer does not inspect, certify, or guarantee the condition of any participant vehicle.


7. Insurance Requirement

Participant confirms that their vehicle is covered by valid automobile liability insurance meeting or exceeding legal minimum requirements.

The Event Organizer does not provide insurance coverage for participants, vehicles, passengers, or personal property.


8. Media & Promotional Use

Participant grants the Event Organizer permission to photograph, record, or capture video of the Participant and their vehicle during the Event.

Participant grants the Event Organizer the perpetual right to use such media for promotional, marketing, social media, or commercial purposes without compensation.


9. Refund & Transfer Policy

Participant acknowledges and agrees to the Event refund policy:

• Cancellations made before January 1, 2027 are eligible for a refund minus a 20% administrative fee

No refunds will be issued after January 1, 2027

• Registrations may be transferred to another eligible participant, subject to approval by the Event Organizer.


10. Event Changes

Participant acknowledges that the Event Organizer may modify:

• Routes
• Schedules
• Hotels or venues
• Event activities

Such changes may occur due to weather, safety concerns, logistics, or other unforeseen circumstances.


11. Governing Law

This Agreement shall be governed by and interpreted in accordance with the laws of the State of Texas, without regard to conflict of law principles.

Any disputes arising from participation in the Event shall be resolved in the appropriate courts located within the State of Texas.


12. Agreement Acknowledgment

By registering for and participating in the Long Haul Rally, participants acknowledge that they have read, understood, and agreed to comply with all Event rules, requirements, and policies outlined above.
